Why do you use a Google form to collect information?

Published on May 3, 2024

Google Forms offers several security advantages over embedded forms or listing an email address online:

  1. Data Encryption: Google Forms encrypts the data it collects, both in transit and at rest. This means that even if someone intercepts the data while it’s being transmitted over the internet, they won’t be able to read it without the encryption key.
  2. Authentication: Google Forms requires users to sign in with a Google account to access the form. This adds an extra layer of authentication, ensuring that only authorized users can submit responses. Additionally, form creators can choose to collect respondents’ email addresses, which provides a way to verify their identities.
  3. Access Control: Google Forms allows form creators to control who can access the form and submit responses. They can limit access to specific individuals or groups by sharing the form only with those who have the link or by requiring them to sign in with a Google account.
  4. Spam Protection: Google Forms includes built-in spam protection features, such as CAPTCHA verification, that help prevent automated bots from submitting responses. This reduces the risk of receiving spam or malicious submissions.
  5. Data Integrity: Google Forms stores responses securely in the cloud, protecting them from loss or corruption. Additionally, form creators can enable features like response validation and required questions to ensure that the data collected is accurate and complete.
  6. Version Control: Google Forms automatically saves a history of edits, allowing form creators to track changes and revert to previous versions if needed. This helps prevent unauthorized modifications to the form and ensures data integrity.
  7. Compliance: Google Forms complies with various privacy regulations, such as the General Data Protection Regulation (GDPR), by providing tools for data retention and deletion. This helps form creators meet legal requirements and protect respondents’ privacy.

In contrast, embedded forms or listing an email address online may lack these security features, making them more vulnerable to unauthorized access, data breaches, and other security risks. For example, email addresses listed online are susceptible to email harvesting by spammers, while embedded forms may not offer encryption or authentication mechanisms to protect sensitive data. Therefore, Google Forms is generally considered a more secure choice for collecting and managing online submissions.
